Creating forms can often be a tedious task, especially when you need to ensure every detail is correct and engaging for your audience. Thankfully, with the integration of Copilot in Microsoft Forms, this process becomes significantly more streamlined and intuitive. Here's how to make better surveys that resonate with your audience:
Accessing Microsoft Forms
Start by navigating to the Microsoft 365 homepage. This is your central hub for accessing all Microsoft applications, including Forms. Click on the nine dots at the top of the page, also known as the app launcher. From here, select Forms, which will open in a new tab.
Starting a New Form with Copilot
To create a new form from scratch, open a new form in Microsoft Forms. Immediately, you’ll notice the Copilot dialogue box, prompting you to specify what you want to create. This feature allows you to input your requirements for the form, making the process more tailored to your needs.
Utilizing the View Prompt Feature
If you're unsure about how to start or need inspiration, the view prompt section is incredibly helpful. It provides a variety of prompts that can guide you in creating your form. For instance, if you need to create a feedback survey for an HR department, this should serve as a good starting point for you. You can fine-tune the contents of the form later on.
Generating Your Form
Once you've set your parameters, click Generate. Copilot will analyze your requirements and create a specific survey tailored to your needs. This process only takes a few moments. After generation, you have the option to keep the form as is, ask Copilot to regenerate it if you're not satisfied, or fine-tune the draft by adding more details or specific questions. You can even see the form being generated in real-time! How amazing is that?
Customizing Your Form
Adding questions is straightforward with Copilot. For example, if you want to include a question about a participant's favorite food, simply instruct Copilot to add it, and it will seamlessly incorporate the question into your form.
Applying Themes and Styles
Copilot also offers suggestions for styling themes, enhancing the visual appeal of your form. You can preview these themes before selecting the one that best fits your form's purpose. Whether you prefer a professional look or something more vibrant like a confetti background, Copilot makes customization easy.
Adding New Questions
You can always add more, even after finalizing your initial set of questions. You can add questions manually or use Copilot to suggest and integrate new questions. This flexibility ensures that your form can evolve as your needs change.
Final Touches
Before sending out your form, review it thoroughly. Ensure all questions are clear and relevant, and that the overall layout is user-friendly. Copilot's integration in Microsoft Forms is designed to simplify this process, saving you time and effort.
But we’re not done yet. Using Copilot also works for existing forms you want to improve.
Updating and Enhancing Existing Forms with Copilot
We've explored how Copilot can assist in creating new surveys or forms from scratch. Now, let's delve into how Copilot can update or enhance your existing forms, making them more effective and user-friendly.
Accessing Your Existing Form
To start, navigate back to your forms environment in Microsoft Forms. Open the form you wish to update. For this example, we'll use the Arrowmar Feedback survey that we have.
Using Copilot to Update Questions
To update a question with Copilot, hover over the question you want to change. For instance, if you want to update the question, "Which search engine did you use?" hover over it, and you'll see the Copilot option appear. Click on it, and Copilot will begin drafting a rewrite for you.
Reviewing and Replacing Content
Once Copilot drafts the rewritten content, you have the option to immediately replace the existing content or regenerate the suggestion if you're not satisfied with the initial rewrite. For this example, let's click "replace," and Copilot will automatically update the question for us.
Fine-Tuning Your Form
If you need further adjustments, Copilot allows you to fine-tune the content. You can continue to use Copilot to tweak other questions or sections of your form until you're satisfied with the overall layout and content.
Adding New Elements
Beyond updating existing questions, Copilot can also help you add new elements to your form. If you realize a question or section is missing or would be beneficial, use Copilot to draft and integrate these new elements seamlessly.
Practical Example: Updating a Feedback Survey
Let's consider a practical example. You have a feedback survey for your HR department. Initially, it might ask generic questions, but using Copilot, you can update these questions to be more specific and relevant. For example, changing "How would you rate our services?" to "How would you rate the effectiveness of our HR services in addressing your concerns?" makes the survey more targeted and insightful.
Having an AI assistant helps you be on top of your game. With Copilot, you're not just limited to basic adjustments. You can delve into deeper customizations and refinements to ensure your surveys are comprehensive and aligned with your goals.
